MULTIPLE DISTRICT 35 SEEKS APPLICANTS FOR EXECUTIVE COUNCIL SECRETARY AND EXECUTIVE COUNCIL TREASURER POSITIONS EFFECTIVE JULY 1, 2024

 

Multiple District 35 is inviting applications for the separate positions of Executive Council Secretary and Executive Council Treasurer to take office July 1, 2024. Applications will be received effective immediately until December 31, 2022, as such time screening and interviews will be scheduled. Successful candidates for the two positions will be announced at the March 2022 conference and they will begin a year of training/ transition during 2023-2024 working with the current Secretary/Treasurer and Office Manager who will be retiring from the position June 30, 2024.  


Council Secretary Position Description


Qualifications for the position of Executive Council Secretary include having knowledge and experience in the operating and administrative needs of a Lions Clubs district and/or multiple district; having knowledge and experience in office administration and record keeping; having experience in supervising assistants and/or volunteers; having a working knowledge of standard office equipment including, but not limited to office telephones and related answering machines, cellular telephones, faxes, copiers, scanners and computers; having working knowledge of audiovisual equipment used at meetings and conferences such as projectors, recording equipment, microphones, etc.; having working knowledge of computer programs including, but not limited to Microsoft Word, Microsoft Excel, Microsoft PowerPoint, QuickBooks, e-mailing, texting, teleconferencing (Zoom), etc.; ability to lift 35 pounds and move supplies as necessary; and willingness to abide by the Lions Code of Ethics.


Duties of the Executive Council Secretary include communication related tasks, office-related tasks, and collaboration with Multiple District Officers and Committee Chairs.


Communication-Related Tasks include the oversight and management of incoming and outgoing correspondence; maintenance of the Council roster and mailing lists; maintenance of MD Chair roster and the solicitation of reports; maintenance of membership database for use in dues billing; and maintenance of records from meetings (e.g., minutes, reports) that are shared with the Historian and preserved. Office-Related Tasks include the maintenance of necessary office supplies; maintenance of office equipment (e.g., printers, scanners, monitors, computers); the ordering of Council and Partner in Service Name Badges and District Officer Crests and Pins; and the maintenance of equipment and supplies used at conferences and convention. Collaboration tasks with Committee Chairs and Officers include, but are not limited to, 1) working with GLT when planning training opportunities (e.g., coordinate advertising); 2) working with First VDGs when conducting the Council Chair selection process (e.g., collect resumes, schedule interviews); 3) working with Pilot and Crusader Award Selection Committees (e.g., receive and process affidavits, forward paperwork to judges, order appropriate awards, make available the awards at the appropriate times and venues); 4) working with designated District Governor when planning for Fall and Spring Conferences (e.g., participate in site visits, as requested, scheduling time for MD meetings); 5) working with Council Chair when planning for Council of Governors’ Meetings (e.g., block sleeping rooms, coordinate evening outing, printing of materials, set-up of meeting space, recording of minutes), and the Annual Convention (e.g., site visits, generation of convention program, input /edit registrations to convention database, overseeing the flow of events); and 6) working with the Immediate Past International Director (or his designee) when planning for international guests to visit conferences or convention (e.g., identification of guests, filing of LCI paperwork, pre-conference correspondence with guest).


Executive Council Treasurer Position Description


Qualifications for the position of the Executive Council Treasurer include having knowledge and experience in the management of budgetary operations of Lions Clubs at the district and/or multiple district levels; having a working knowledge of computer programs including, but not limited to Microsoft Word, Microsoft Excel, QuickBooks, e-mailing, texting, teleconferencing (Zoom), etc.; and willingness to abide by the Lions Code of Ethics.


The Executive Council Treasurer of Multiple District 35 is responsible for maintaining the financial records in order to ensure the Multiple District operates within its fiduciary capacity. This includes, but is not limited to, receiving all funds and accounts receivables, depositing funds in proper accounts, maintaining multiple checking accounts, disbursing funds for accounts payable as authorized by the Council of Governors, coordinating with the Council Secretary and banking institutions to transfer banking signatories on MD accounts, reconciling bank accounts, working with auditors and Finance Committee on annual review of financial records, preparing and submitting financial reports to the Council of Governors, and delivering, in a timely manner, at the end of his/her term, the financial accounts, funds and financial records of the Multiple District to his/her successor.
